State Auditor's Office Receptionist in HELENA, Montana
The Office of the Montana State Auditor, Commissioner of Securities and Insurance is a criminal justice agency whose primary mission is to protect Montana's consumers through insurance and securities regulation. The Central Services Division is responsible for agency human resources, accounting, budgeting, payroll, purchasing, mail, and customer support and service. The Receptionist provides reception services and support for the entire department, utilizing exceptional customer service skills and techniques. Those services include, but are not limited to, data entry, proofreading, creating forms, mailing, filing, copying, faxing, scanning, and greeting and directing visitors and callers. This position also provides backup to other agency staff when needed: opening and distributing mail and receipting checks; and preparing the agency deposit using the state accounting system (SABHRS), Singlepoint (electronic check depositing), and the agency receipting system (SAO Prod). Duties Include: • Provide telephone coverage and receptionist duties for the office, using a multi -line telephone. • Professionally handle difficult and sensitive inquiries and visitors. • Respond courteously to customer inquiries, complaints and general feedback, and ensure that they reach the appropriate staff members in accordance with the agency policies and procedures. • Prioritize and multi-task between answering telephone lines, serving walk-in customers and working on special projects. • Establish and maintain a professional atmosphere and positive working environment for staff and members of the public. • Record complete and accurate messages for staff to ensure a timely response. • Operate office equipment including personal computers utilizing Microsoft Office software, and scanners, printers and copy machines to compile, type, revise, combine, edit, print, copy, scan, and store documents for agency staff. • Provide basic clerical support to other bureaus with filing, scanning, data entry, preparing file folders, and assisting with mailings to ensure timely distribution.
